About the role

City of Darwin is seeking a highly organised and professional Senior Executive Assistant to provide high-quality, accurate and timely executive and administrative support to the Lord Mayor. Reporting to the Executive Manager Legal & Governance, this role coordinates the Office of the Lord Mayor and supports effective communication, information flow, civic events and stakeholder engagement across a complex and high-profile local government environment. Key areas of responsibility include, but are not limited to:

  • Coordinate the Office of the Lord Mayor through effective diary, correspondence, travel, workflow and meeting management.
  • Deliver a professional, courteous and collaborative interface with the community, Elected Members, employees, government representatives and external stakeholders.
  • Prepare, coordinate and review briefs, emails, correspondence and other written information, including responses to issues and enquiries.
  • Research and collate information for reports, advice and briefings on policy and operational matters.
  • Build productive relationships with internal and external stakeholders and coordinate Mayoral media commitments with the Manager Public Relations and External Affairs.
  • Maintain accurate corporate records, improve administrative practices, support projects and events, and manage critical, confidential and sensitive matters with discretion.

About you

You will be a highly organised, discreet and adaptable executive support professional who can anticipate needs, exercise sound judgement and manage competing priorities in a fast-paced and politically sensitive environment. You will bring excellent written and verbal communication skills, strong attention to detail and the confidence to engage professionally with Elected Members, government officials, dignitaries, community members and senior stakeholders. You will be collaborative, service-focused and committed to maintaining confidentiality, accurate records and efficient administrative systems.

To be successful in this role, you must have: -

  • A Certificate IV in Business Administration, Certificate IV in Local Government, or an equivalent relevant qualification or experience.
  • At least three years' experience in a similar role for appointment at Level 4, or at least five years' experience for appointment at Level 5.
  • High-level administrative, organisational, time management and prioritisation skills in an environment of competing demands.
  • Excellent interpersonal, written and verbal communication skills, with the ability to deal sensitively and discreetly with a wide range of stakeholders.
  • An understanding of local government and its broader organisational and political context, together with experience coordinating public receptions or events.
  • High proficiency in Microsoft Office, particularly Word, Excel and Outlook, and the ability to obtain a National Police Records Check.
